I use it to work out a price and get back to you. I ask for your name and street when I reply, so those are never sitting in a web form. If the job goes ahead the details become the job record; if it does not, they sit until they age out below.
Photos are resized in your own browser before they are sent, which writes a fresh image and drops the metadata block along the way — including the GPS position your phone stamps on every shot. That location never leaves your device.
Stored photos are never given a public address. They are served only through a request that checks who is asking, every time, so a link that escapes into an inbox or a browser history is worth nothing to whoever finds it.
Real-estate agents and strata managers have a portal for raising jobs. It holds their name, work email, phone and agency; the property addresses they raise jobs against; job descriptions, photos and invoices; and, where they provide it, a tenant’s name and phone number so access can be arranged.
An agency sees only its own jobs. Not another agency’s, not in a list, not in a search, not by guessing a web address. Tenant contact details appear only on the job they belong to — never in a list, never in a search result, and never in an email. Emails carry a link and nothing else, because inboxes get forwarded.
If you are a tenant and your agent gave me your number to arrange access, that is all it is used for. Ask me and I will tell you what I hold and delete it.
Some agents give their tenants a link so you can report a repair yourself rather than ringing the office and waiting. If you have one:
The name and number you put in are used to arrange a time to come, and for nothing else. If you would rather not give them, your agent already has them — leave the fields blank and I will go through the office.
The portal has no passwords. You get a link that works once and expires, and only a one-way hash of it is stored — so a copy of the database contains nothing anyone could sign in with. A session lasts 14 days, and turning off an account takes effect on its next request rather than whenever the session happens to lapse.
No analytics, no advertising pixels, no session recording, no third-party scripts, and no cookies except the one that keeps you signed in to the portal. The typefaces are served from this site rather than from a font service, so no one else is told which pages you read. If you arrive from a Google ad, Google knows you clicked it — that happens at their end, and nothing on this page reports back to them.
The site and its data run on Microsoft Azure; the portal database is hosted by Neon; email is sent through Microsoft 365. They hold the data to provide those services and for nothing else. Some of that infrastructure may sit outside Australia. I do not sell anything to anyone, and I do not share job details with other trades unless you have asked me to bring one in.
Ask me to delete something sooner and I will, unless it is attached to an invoice I am required to keep.

I am a small business, so the Privacy Act 1988 does not oblige me to do this. I do it because it is your information and asking for it back is reasonable. If you think I have got something wrong, tell me first — and if that gets you nowhere, the Office of the Australian Information Commissioner takes complaints at oaic.gov.au.
